TRANSCRIPTION COMPLETION INSTRUCTIONS


When you have completed your Transcription, there are several things to do.

Have you already checked these things?

  1. Included the enumerator's name and the enumeration dates?
  2. Included the microfilm number?
  3. Rechecked the census page numbers?


You will need to have your transcription proofread

Suggestions...

  • Read the Proofreading Decisions you will need to make.

  • Find a proofreader.
     
    • Try to find someone you know who shares your genealogy interests (such as a relative or friend).

    •  
    • Email the CENSUS list for someone to trade proofreading with you.

    •  
    • Check the Proofreaders Exchange. You may want to fill out the form to add your name to those looking for proofreaders.

    If you have already posted your transcription information on the Proofreaders Exchange and you still haven't found a proofreader, you may submit your transcription, and we will upload it to the Census Project Archives, while you continue to look for a proofreader.

 


Transcriber's Comments Text File

You may want to write a comments file to be uploaded along with your transcription. If you do, put your general comments on a separate worksheet (if your spreadsheet has the ability to do multiple worksheets), or write it using your wordprocessor and save it as "text", or use the Notepad program that comes with Windows.

The comments file could include any unusual things you found on your census, such as:

  • Page numbers out of sequence

  • .

  • Mistakes made by enumerators..(such as Dwelling and Family numbers repeated, or omitted)

  • Statistics about your county, number of families, people, occupations, etc.

  • Abnormal state, occupation, or first name abbreviations.

  • or anything else you would like to mention to the researchers.



Submitting Your Transcription

Send an E-Mail message with your transcription file attached to the email address listed in the box below. The transcription file will either be a .DBF (if you are using CART) or a spreadsheet file (if you are using a template). If you have created a separate transcriber's notes text file attach it to the email, too.

If you have zip software, you may want to zip your transcribed file(s) to shorten the time it takes to send the email with files attached.

The E-Mail Subject Header:
The Subject of the email should contain the STATE, COUNTY, and YEAR of your transcription.

Example:  TX Brazos 1850

The E-Mail Message:
Copy/paste the Submission Form into the message body of the email and then fill-in the ends of the 15 lines with your transcription information.

Send your email with the completed Submission Form
and file attachments to:

WAIVER #1  (for unproofread transcriptions) 

As holder of the copyright on this work, if contact with me is lost for any reason, the USGenWeb Census Project Proofreader Coordinator is hereby given my consent to assign a proofreader and have any justifiable corrections made.  If contact is re-established with me, I reserve the right to review the corrections, if any, to my original transcription and request any adjustments I deem necessary be made.

WAIVER #2  (for requests from researchers for a review of the spelling of names)

 If a researcher sends a request for a review of the spelling of a name on this transcription and contact with me is lost for any reason, the USGenWeb Census Project Coordinator is hereby given my consent to assign a committee to check the microfilm source for the name in question and have any justifiable corrections made.  If contact is re-established with me, I reserve the right to review the corrections, if any, to my original transcription and request any adjustments I deem necessary be made.

WAIVER #3  (for adding to this Index file to turn it into a full transcription)

 If in the future the Census Project wants to add columns to this Index file to turn it into a full transcription, and I am not interested in participating in doing the full transcription, or I can't be reached at my last known email address, I hereby give my consent to The USGenWeb Census Project  to use this Index file in the full transcription making any changes it deems necessary as long as my name remains in the credits paragraph of the on-line transcribed files for this census.
